The short version: Swivu uses information to provide and secure the service, support your team, and improve the product. We do not sell personal information.
Scope and roles
This Privacy Policy applies to Swivu's websites, applications, and related services (together, the "Services"). It does not apply to third-party products or websites that have their own privacy policies.
Organizations use Swivu to coordinate their work. When your employer, customer, or another organization provides you with access to a Swivu workspace, that organization controls the workspace and the information submitted to it. Swivu processes that information on the organization's behalf. Questions or requests about workspace content should usually be directed to the workspace administrator first.
Swivu is responsible for information we collect for our own purposes, such as website inquiries, account administration, service security, and product communications.
Information we collect
The information we collect depends on how you use Swivu.
- Account and profile information. Your name, email address, profile image, sign-in details, organization, role, and account preferences.
- Workspace and operational content. Information you or your organization add to the Services, including schedules, tasks, projects, clients, resources, contacts, locations, notes, checklists, files, photos, attendance or time records, budgets, reminders, and notification settings.
- Communications. Messages and information you provide when you contact us, request support, submit feedback, or communicate with us about the Services.
- Usage and device information. Browser and device type, IP address, operating system, approximate location derived from IP, pages and features used, timestamps, referring pages, and diagnostic or crash information.
- Connected service information. If you sign in with Google or connect another service, such as CompanyCam, we receive the information needed to authenticate you or provide the integration. The information available to us depends on your settings and the permissions you grant.
We collect information from you, your organization and its administrators, other workspace members, connected services, and automatically when you use the Services.
How we use information
We use information to:
- Provide, operate, maintain, and improve the Services
- Authenticate users and manage accounts, workspaces, permissions, and connected services
- Process schedules, assignments, uploads, notifications, and other actions requested by users
- Respond to questions, provide support, and communicate about service updates
- Monitor performance, troubleshoot errors, and understand how features are used
- Protect the Services, our users, and others from fraud, abuse, security threats, and unlawful activity
- Comply with law, enforce our agreements, and establish or defend legal claims
Where applicable law requires a legal basis, we rely on performance of a contract, our legitimate interests in operating and securing the Services, compliance with legal obligations, or consent. You may withdraw consent at any time, but doing so does not affect processing that already occurred.
Data retention
We retain personal information for as long as needed to provide the Services, maintain legitimate business records, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods vary based on the type of information, why it was collected, the instructions of the relevant customer, and applicable law.
When information is no longer needed, we delete or de-identify it. Information may remain for a limited time in secure backups or where retention is required by law.
Security
We use administrative, technical, and physical safeguards designed to protect personal information. No internet service can guarantee absolute security, so we encourage you to use a strong, unique password, protect your account credentials, and notify us promptly if you suspect unauthorized access.
Your choices and rights
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information; object to or restrict certain processing; or withdraw consent. You may also have the right to appeal a decision about your request and to receive equal service and pricing when you exercise a privacy right.
You can update certain profile and preference information in the Services. You may also opt out of non-essential marketing messages using the unsubscribe instructions in the message. We may still send service-related communications.
To make a privacy request, email us at swivu@swivu.com. We may need to verify your identity and authority before completing a request. If an organization controls the workspace containing your information, we may direct your request to that organization.
California disclosures
California residents may have rights to know, correct, and delete personal information and to opt out of its sale or sharing, subject to exceptions. They also have the right not to receive discriminatory treatment for exercising these rights. Swivu does not sell personal information or share it for cross-context behavioral advertising, and we have not done so in the preceding 12 months.
In the preceding 12 months, we may have collected the categories described above: identifiers and contact details; customer records; internet or network activity; approximate geolocation; professional or employment-related information; user-submitted audio, visual, or electronic content; and inferences drawn to support and improve the Services. We use these categories for the purposes described in this policy and disclose them to workspace users, service providers, connected services, and other parties as described in "How we share information." We do not use or disclose sensitive personal information to infer characteristics about individuals.
To submit a request or an appeal, use the contact information below. An authorized agent may submit a request on your behalf, but we may ask for proof of authorization and verify your identity directly.
International transfers
Swivu is based in the United States. If you access the Services from another country, your information may be transferred to, stored in, and processed in the United States and other countries where we or our service providers operate. Where required, we use safeguards designed to protect personal information transferred across borders.
Children's privacy
The Services are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information directly from children under 13. If you believe a child has provided personal information to us, please contact us so we can take appropriate action.
Changes to this policy
We may update this Privacy Policy as our Services and privacy practices evolve. We will post the updated policy here and revise the "Last updated" date. If changes are material, we will provide additional notice when required by law.
